Consulting invoicing basics

What should a consulting invoice include?

Your practice details, the client, an invoice number and date, the due date, lines for the engagement, any tax, the amount due, and how to pay. Terms belong in the payment block so the client does not have to hunt through the statement of work.

How do I bill a retainer versus a project?

A retainer is usually one line for the period, such as a monthly advisory fee in USD. A project is a set of milestone lines — discovery, delivery, final — each with its own amount. Use the pattern named in the engagement letter.

How do day rates and hourly advisory fees show up?

Put the unit in the quantity column and the rate beside it. Three advisory days at a day rate, or twelve hours at an hourly rate, both total on the line. Say whether tax sits on top.

When do pass-through expenses go on the invoice?

When the client agreed you would bill them through. Travel, software, or a specialist you paid on their behalf is its own line, labeled as a reimbursable expense, with the amount you are passing on.

How do I customize this consulting invoice template?

Replace the practice name and payment block, set the tax rate cell if the engagement is taxable, and duplicate the tab for the next invoice so the one you already sent does not change.

Can I reuse one file for every client?

Duplicate a tab per invoice, or copy the whole file per client if you would rather keep engagements apart. Either way, a sent invoice stays as it was on the day you sent it.

How should I state currency and payment terms?

Write USD unless the contract names another currency, and spell out where the money goes and when it is due. International clients need that block to be obvious.

Books and client expenses

Where does a paid consulting invoice go in the books?

Into income on your profit and loss statement, next to the expenses of the practice. Pair this sheet with a self-employed P&L or with Avery so the fee and the costs of earning it stay together.

How do I record a reimbursable expense I already paid?

Keep the original cost in your expense tracker. Bill the agreed amount as its own invoice line. The income line and the expense line should both be visible, so the pass-through does not hide inside the professional fee.

When is a retainer income?

Record it in your books using the method you already file with — often when the cash arrives for a cash-basis consultant. The invoice still shows the amount and the period. This is general information, not tax advice — confirm timing with a qualified tax professional.
